Volunteer Needs

To all the Calvin’s participants and family and crew,

With the deadline for early registration fast approaching, we would like to make a general call for Night before/Day-Of-Race volunteers.  Our needs this year are a little different.  Due to the implementation of the electronic timing system, we no longer need “hole punchers”!  It is more of a cheering, encouraging type of volunteering.  Volunteers can receive thank you gifts ranging from t-shirts, safety vests, donations to charities such as ConsiderBiking, Diabetes ride, and such like, up to having their rider entry comped, depending on time commitment  of volunteering. With all of our needs, our goal is to keep people safe!

Specific needs are as follows:

!SHORT TERM COMMITMENT!  LESS THAN 1 HOUR!

Partial Lap Volunteers for 6 HR Race:  6-12 people from 2:00 PM to 3:00 PM to collect last lap numbers from riders at mile 1 through 6 on the last 7 mile lap for the 6 hour race.

Partial Lap Volunteers for 12 HR Race:  6-12 people from 7 PM to 8 PM to collect last lap numbers from riders at mile 1 through 6 on the last 7 mile lap for the 12 hour race.  (If you can do both pickups though, that would be great)

We will take these people out on the course in our vehicles, drop them off at the appropriate mile marker and pick them up with the rider numbers that they have collected. We aim to have this happen in under 1 hour’s time!

LONGER TERM COMMITMENTS

Friday Night Registration:  1 – 2 people to help with night before registration needs at the Hampton Inn from 6 PM to 9 PM

Day of Race Registration:  2 people at the high school to help with day of race registrations from 6 AM to 8:30 AM

Race Day Volunteers at the High School:  2 – 3 people each at the high school to help herd cyclists through the time chutes, cheer, and maybe fill a water bottle for a cyclist going through the school from the following time frames.
Time slots include:

  • 9:30 AM to 12:30 PM
  • 12:30 PM to3:30 PM
  • 3:30 PM to 7:30 PM

Race Day Volunteers at the South Solon Fire Station:   1 – 3 people to help herd cyclists through the time chutes, cheer, and maybe fill a water bottle for a cyclist going through the school from the following time frames.

  • 3 people from 8:00 AM to 9:30 AM for the first lap rush, with 1 staying until 12:30 PM
  • 1 person from 12:30 PM to 4:30 PM

Race Day Course Pick-up:  1 person to pick up signs off the course at 7:30 PM

Post Race Clean-up/Packing:  1 – 2 people (or more) to help with general grounds cleanup/packing and to transport needed supplies to the auditorium for the award ceremony.

This is a fun time and experience where you will witness and be a part of helping cyclists striving for their “personal best.”  Everyone is incredibly grateful! Of course the weather will be wonderful, as always, at Calvin’s. We suggest bringing a chair and extra clothing appropriate to any changing weather conditions.
